How to Choose a Tent Size for Your Guest Count in Nairobi

For seated guests with tables, allow 1.5 m² per person. For standing receptions, 1 m² per person. A 6×9m tent (54 m²) seats ~36 guests with tables; a 12×12m hexagonal seats ~96; B-line pagola tents accommodate 200-500 guests. Add 30% extra space for stage, dance floor, and buffet.

    Count your guests and add 10%

    Start with a confirmed guest list. Then add a 10% buffer for last-minute additions, plus-ones, and event staff who will also occupy tent space. If you expect 100 confirmed RSVPs, plan for 110-115 people inside the tent.

    Decide seated vs standing reception

    Two formulas determine tent size:

    • Seated with tables (sit-down dinner, wedding reception): 1.5 m² per guest
    • Standing cocktail / mingling reception: 1 m² per guest
    • Theatre-style ceremony (rows of chairs, no tables): 0.7 m² per guest

    Multiply your guest count by the right factor to get base tent area in m².

    Add 30% for stage, dance floor, and buffet

    If your event has a stage, dance floor, DJ booth, or buffet line, those need their own footprint. Add roughly 30% on top of your guest-area calculation. Example: 100 seated guests = 150 m² of guest area, plus 45 m² of stage/dance/buffet = 195 m² total.

    For full weddings with ceremony plus reception in the same tent, add 50% instead of 30%.

    Confirm venue dimensions and access

    Measure your venue's usable area (length × width × any obstacles like trees, slopes, or buildings). Send us a photo or sketch of the space — our setup team will confirm whether the tent fits, plus accounts for guy-ropes (extra 1-2m clearance on each side) and access for delivery vehicles.

    For uneven ground or steep slopes, we may recommend levelling, raised flooring, or splitting the space across two smaller tents.

    Decide if you need sidewalls and weather contingency

    Nairobi has two rainy seasons: long rains (March-May) and short rains (October-December). For events in those windows, sidewalls are non-negotiable. Even in dry months, evening events often need sidewalls for warmth and to keep insects out.

    Sidewalls add 15-25% to the tent hire cost. Generators are quoted separately if your venue has unreliable power.
